Whitehead Monckton, a well-established legal practice is looking for an experienced receptionist to join their team in Canterbury.
Ideally we are looking for someone with previous front of house experience in a professional services environment or perhaps in the hospitality industry. Candidates must be able to demonstrate their ability to deliver excellent client care, to manage the front of house function effectively and to apply flexibility within their daily work to ensure delivery of service. This is a full time permanent role working Monday to Friday on rota shifts of either 8.30-16.45 or 9.45-18.00.
To be the first point of contact for all clients and visitors to the office.
To monitor and maintain the security entry card system for the building. To ensure knowledge of staff movements in and out of the office.
To manage general reception administration such as accepting deliveries, credit card payments, issuing receipts, booking couriers and petty cash etc.
To maintain the presentation of the reception area, meeting rooms and complimentary client benefits.
To oversee the booking system for meeting rooms for internal and external clients. To effectively manage the hot desk diary for visiting staff.
To ensure meeting rooms are set up to specific requirements for internal/external meetings. To provide the accounts department with invoice details for external client room bookings.
To ensure refreshments are provided to internal and external clients, as required.
To organise catering for in house events, for example lunches, client receptions etc.
To ensure the kitchen is kept in a neat and orderly manner. To order and replenish catering stocks.
To deal with incoming and outgoing post each day.
To undertake general administration duties such as photocopying, typing, plans, library and stationery stock control.
To liaise with the office manager with regards to office facilities such as car parking, stationery, general office maintenance and utilities.
To liaise with the cleaning company to ensure a satisfactory level of service is provided.
To work with the office manager to ensure all aspects of health and safety are adhered to within the front of house areas.
To be the appointed first aider for the office.
