Mortgage Administrator

Based in Horsham/Hybrid (Flexible working)

Salary - £25,000 per annum

We are looking for an Administrator to join our client’s successful and award-winning firm of Chartered Financial Planner and support the Financial Planners in their role.

As a key member of our client facing teams, your primary responsibility is to provide administrative support to our Mortgage, Protection and Equity Release advisers in all aspects of their advice process. This will frequently also mean that you will be the clients’ point of contact for administrative matters. Your role will be providing administration support for Chartered Financial Planners in all aspects of their advice process including the following:
⎯ Assisting with preparing documents for the mortgage advisers covering new business and existing client reviews.
⎯ Provide high quality service to clients over the phone, by email and post in a time efficient manner.
⎯ Carry out day to day administrative functions, complete and submit Mortgage and protection applications, keeping data up to date on Enable (internal CRM system)
⎯ Carry out technical product research for mortgage and protection using sourcing systems and making contact with providers
⎯ Liaise with lenders and third parties such as Solicitors and Estate Agents is maintained throughout any processing to ensure that property purchases, re-mortgage applications and equity release applications move to offer quickly and we proceed to a successful completion for the benefit of our clients.
⎯ Liaise with insurers and other parties involved in the process to ensure that policy terms are produced as soon as possible.
⎯ Completing electronic AML checks ⎯ Dealing with post, scanning, photocopying, filing and emails
⎯ Prepare and send letters of authority and obtain information on client policies from ceding schemes and providers to support research
⎯ Assist with the collation of client data and documents in the construction of suitable recommendation reports and prepare related client correspondence
⎯ New business submission – manage the case documentation process incl. upload and submission of required compliance documents to Enable (our internal client management system)
⎯ Providing information and uploading documentation to support mortgage/equity release/protection applications
⎯ Preparing and issuing documents to be signed electronically via Adobe sign ⎯ Drafting letters, emails and dealing with client enquiries
The Knowledge, Experience and Qualifications You Need ⎯ Motivated, proactive, and able to act on your own initiative with a positive attitude ⎯ Possess great organisational skills, ability to plan and self-organise.
⎯ Have the ability to identify the client’s needs effectively
⎯ Ability to prioritise multiple tasks in a deadline driven environment, the ability to make decisions and to work calmly under pressure are all key attributes
⎯ Maintain and develop relationships with both advisers, clients, and professional connections. ⎯ Attention to detail and methodical approach
⎯ Comfortable working in teams.
⎯ Minimum of 12 months Administration experience within Financial Services, ideally within a mortgage and/or financial planning business.
⎯ Have a generic understanding of house purchase/move related services such as survey/conveyancing and Estate Agency operations generally is beneficial
⎯ R01, FA1, FA2 Qualified, or looking to qualify, is an advantage
⎯ Experience with Client Management Systems.
⎯ You will be required to complete the range of educational and training tutorials on our internal client management and client asset custody and administration and dealing systems, Enable, as well as be fully conversant with our online client portal, Wealth Platform.
⎯ Aspirational, you will be an individual who embraces change and understands and shares our corporate culture.
⎯ Excellent telephone manner, communication skills and high standards of literacy are essential.
