Operational Support (Administrator)

Swale Heating are one of the biggest and most recognised heating specialists in Kent.  We have been operating since 1972 - meeting the heating needs of the South East of England. We are trusted by our customers to keep them safe and warm, every day of the year.

We are currently looking to recruit an experienced Administrator to be based in in our Head Office in Sittingbourne, Kent.

Purpose of the role:

We are seeking experienced applicants who have accurate administration skills, excellent organisational skills, exceptional communication skills and who can work well in a team. This role would suit a confident individual who likes a challenge and enjoys a varied position.

Working closely with your Operational Planner, you will proactively manage the administration process that is required to maintain a high level of customer service.  You would be working alongside and taking direction from your Planner to check that all engineers have dispatched and are ready for their day on time. You will check the previous day’s work, ensuring there are no outstanding works from the day before as well as making outbound phone calls to customers to make appointments.

You will help create a winning team that is complimented on its high quality of work, customer service excellence and efficiency.

Essential Qualifications & Experience:

Experience in office administration of at least 3 years
5 GCSEs A-C or equivalent or able to show appropriate competence at this level
Call handling experience
Excellent communication skills, active listening and transferring of information
Intermediate IT Skills including MS Word, Excel, Email, Internet
Ability to learn inhouse IT database system

Key Tasks include but are not limited to:

To assist with administration tasks ensuring outstanding levels are maintained and escalated where required.
To help support the Planner ensuring appointments are completed in accordance with the contractual requirements within your area, meeting all Service Level Agreements.
To maintain the highest level of customer service by ensuring customers are kept up to date with their appointment.
Support your team in all activities to achieve / surpass our service delivery across the board in all areas.
Ensure that all daily tasks are completed.

Location & Travel:

This role is based in our Head Office in Sittingbourne. 

Hours of work: 37.5 hours per week Monday to Sunday on a shift rota basis (Remote working is potentially available)
