Job Description
The main duties and responsibilities expected as Service Coordinator include, but are not limited to, the following:
• Scheduling of engineers work. (Currently 6 engineers, requiring approximately 10-15 jobs booked per day)
• Our CRM system is used for booking work and following up to ensure all jobs are booked
• To prepare formal quotations for the service related works, for annual contract renewals and to ensure conversion to order via chasing
• Liaising with the Service Manager, Stores Controller, Service Development Co-ordinator and accounts department
• To meet office targets as set by the directors
• To provide management reports as required
• To assist with answering the office telephones as required
• Updating information on our CRM
• Sending our of RAMS and health and safety information required for jobs
• To undertake any other reasonable management request
This role will include some further dimensions:
• Very telephone focussed role but strong admin is required
• Be an assistant to service/operations manager, assisting with day to day management of the service team and the engineers as they progress through their day
• Taking responsibility to assist in all areas of the service team in busy periods
• Proactive approach to helping, booking work and converting old or overdue service customers
• Managing and taking near full responsibility of our diary system
The person should be:
• An excellent communicator, both verbal and email, for internal and external comms.
• Good literacy, manor and customer service based language skills
• Good geographical awareness (not just proficient with Google Maps!)
• Proactive in their approach to learning, management and work
• Strong communicator and an eye for detail
• Be able to read the situation around them and when speaking to customers – ‘situational awareness’
• Keen to learn more and develop their role into more than just Service Coordinator, to become a strong part of our service team – working together to improve the effectiveness of the service department.
Benefits Package
• £22,000 - £27,000 per annum
• Pension available – government standard auto enrolment
• 21 days holiday (plus 8 bank holidays)
• Monday – Friday 8.30am - 5.00pm
• 30 minute lunch break
