Hours: 08:00 to 17:00 then 10:00 to 19:00. (Rotating)

Job Description

 Purpose – To ensure the cost effective and efficient planning and

routing of the depots vehicles and drivers for local distribution, national distribution, European distribution and trunking operations

Finance

Ensure the effective financial management of the depots Transport operations and be committed and contribute to the company’s financial expectations.
Identify ineffective operations and plan to rectify losses
Ensure department manning is cost effective and managed
Be aware of the implications of inefficient equipment and fuel use
Planning/Routing

Ensure that loads are built and planned effectively and that the results are communicated to all relevant people
Readily adjust plans to take account of exceptional or unforeseen circumstances; accepts feedback from others on effectiveness of plans made

Guide and assist others to interpret route and load plans and instigate reviews of plans’ effectiveness
Ensure that local deliveries and collections, National deliveries and collections and the trunking operation are optimised and maximisation of the fleet, drivers and goods taking into consideration the needs of the Fleet Engineer and external factors.

Ensure optimisation and maximisation of the fleet available by continually looking at ways to achieve a greater profitability throughout all distribution requirements and also maintaining a consistently high level of satisfaction for all our customers.

Ensure that jobs are progressed from planning delivery to final drop and any discrepancies.
Resource Allocation

Manage the departments equipment and manpower resources to include holiday and sickness cover effectively and in line with company expectations

Identify and deploy resources necessary to cope with depot work load
Plan resources in advance to cope with demand
Interpret trend data to identify current and future resource requirements
Ensure resources are maintained to meet all legal requirements Liaison with the Fleet Engineer relating to vehicle breakdown, repair, servicing and road traffic accidents ensuring faults are reported and, where required, vehicles are made available for service or repairs.
Ensure daily conference calls are completed by relevant staff

Aware of differential tariff rates for different services offered
Communication on Equipment

Aware of different equipment & processes used to communicate with drivers, customers and company colleagues
Competent to operate all communication equipment necessary for the job role and fully conversant with relevant communication processes and associated timescales
Damaged Goods Procedures

Ensure that company procedures are followed for damaged goods and incomplete consignments
Competent in the operation of all goods in transit procedures
Take decisions on appropriate action to deal with damaged goods and incomplete consignments
Give guidance to others on appropriate action to deal with damaged goods and incomplete consignments
Knowledge of Legislation

Aware of relevant legislation applicable to Traffic Office
Working knowledge of drivers’ hours, WTD and RTD legislation, referring to source material or asking advice when necessary
Monitor drivers working time hours to avoid shortages at end of reference periods
Give advice and guidance to others on road transport legislation
Handling Paperwork

Aware of documentation associated with Traffic Office
Identify documents requiring action and refer to others as appropriate
Give advice and guidance to others on action required by particular documents
Record Keeping

Aware of the need to keep records of tachographs, driving licences, fault reports, vehicle service records and official vehicle documentation
Ensuring Others’ Compliance

Aware of Traffic Office role in ensuring company employees’ compliance with legal obligations
Ensure that the processes and procedures around fault and accident reporting are carried out
Aware of communication processes and procedures between traffic office and workshop/ Fleet engineer
Liaise with workshop / Fleet engineer to ensure resource requirements and service schedules are met
Ensure all BTW interviews are completed and conducted in line with companies’ expectations.
Ensure adequate instruction and training is provided within the traffic office to eradicate fault
Ensure Driver Training Supervisor’s needs are met to cope with resource allocation and load demands.
Fuel Management

Aware of issues around fuel consumption and potential cost saving opportunities
Any Other Relevant Duties

Assist in other areas of the operation if workload and manning dictate
